FOCUS 2.0 Expose' - Disp/Sales
Disp/Sales
The next section that we will look at is the Patient dispensing\sales area of the application. We have reorganised this section in order to make behaviour consistent throughout the application and to aid new users learning the application.
Review Sales
The section is synonymous with the Patient sales sections in FOCUS 1.0. We have tried to retain the screen layouts that you will be used to but enhanced them to improve usability. If the <Disp/Sales> button is clicked from the MPD, the screen will open showing the patient sales history as shown in the screenshot below:

The right-hand side of the screen shows the transaction selected in the summary pane on the left hand side of the screen. This makes it easy to drill into any transaction to look at the detail without flicking through many records. A top level understanding of the transaction can also be gleaned as the outstanding balance against each transaction is shown alongside the total sales value. The right hand side of the screen is effectively the same as Patient sales screen in FOCUS 1.0, details of transaction and payment lines are shown here. From this screen, transactions can be selected and functions carried out on them as indicated on the buttons shown at the bottom of the screen. These functions allow for returns, exchanges, remakes and repeat dispensings. There is the facility to print a duplicate receipt through the receipt printer, and the final button on the right allows further payments to be taken against the selected transactions. Payments are taken through the new Till module of the application and will be detailed later in this document.
New Sales
Sales and dispensing have been divided into 3 sections as indicated by the 3 tabs at the top of this screen (Review Sales, New Sale, Quotes). We have looked at the review sales tab which shows the history of patient sales, we will now move to the New Sales tab. The New Sales screen is shown below:

It should be apparent how to use the screen by looking at it and the buttons along the bottom. Quick entry of items to be sold may be entered or scanned into the SCU/PLU Code box on the top right of the screen. Aside from the ‘quick entry’, there are 3 methods of creating new sales: Specs dispense, CL dispense or ‘Other’. This division is necessary because dispensing of specs and CL’s requires parameters other than item and sale value. Consequently, we have dedicated Specs and CL dispensing screens which we will review later. If the
This is typical of most new search screens in FOCUS 2.0. The item you are searching for is typed in the box at the top and items which match will appear below. By clicking on any of the column names you may search on that column. The tabs are arranged to allow searching within sub-categories – in this case, these are product groups. When the item is found, double-click, or select and click the
When the item has been selected, the product search screen is closed and you are returned to the New Sales screen. Â We will now look at the other buttons on the bottom of this screen.
NHS and corporate payments are dealt with differently in FOCUS 2.0. They were treated as an undated payment method in FOCUS 1.0 until payment was made by the NHS or corporate body. In FOCUS 2.0, they are treated as ‘Benefits’. This means that they act more like discounts during the dispensing process than a payment method. One advantage of dealing with them in this way is that they can be applied to individual transaction lines within a transaction instead of being pro rated against all transaction lines as they are currently in FOCUS 1.0. This may seem like a fine line for changing something which is used a lot within the application but it makes a lot of sense when it comes to reporting and account management. Processing claims will be dealt with later in this document. There is facility to select NHS vouchers within the specs and CL dispensing screens but you may want to add one in the general new sales area also, as well as it being the way to add a corporate benefit also. To apply a benefit (NHS or corporate), first select the sales line to which it is to be applied. If it is to be applied against more than one line, multi-select by pressing the <Shift> or <Ctrl> key on the keyboard when clicking with the mouse (the same multi-select behaviour applies in various places throughout the application).Â
Then click the <Benefit> button
 - the following screen appears:
It can be seen from the screenshot that this practice has the DVLA as a corporate. The voucher values are listed and maintained under the institution which pays them. Again, the general search mechanisms apply as a list may be extensive. When a benefit has been selected, it will appear in the new sale as a negative amount; and in the background data, will be applied to the individual transaction which was selected for the benefit. If it was a corporate benefit to be applied to a sale, the appropriate corporate entity’s tab should have been selected and the benefit type selected for the sale. Benefits can be for variable amounts so flexibility is maintained for the likes of HC3 vouchers.
Discounts are processed in the same way. Discounts can be applied during the Specs dispense process in its dedicated dispensing screens, and general discounts may be applied by selecting the individual line, clicking the <Discount> button
and choosing a discount to apply.Discounts are flexible allowing for fixed amount, percentage or variable discount type.
The <Edit> button
is used to select CL or Specs dispenses which have already been created for further editing before confirming the sale and taking it to the till. The <Delete> button
will delete an individual line from a new sale or multi-lines if multi-selected, or a dispensing group for a specs or CL dispense. The <Cancel> button
will cancel the whole of the new sale and remove all lines from the new sale tab.
Quote
The third section of the Disp/Sales screen is the Quotes tab. The <Save as Quote> button
is a new feature. It allows for individual dispensings or groups of dispensings to be stored as quotations to be used at a future date for a patient. There will be ‘Save as Quote’ buttons within the Specs and CL dispensing forms also. The ‘Quotes’ tab shows any quotes which have been saved for the patient and a prototype of the screen is shown below.

You can see that a quote can be valid for a set length of time after which a warning will be displayed, or you may be prevented for converting the quote back to a new sale. The header and details of each quotation can be viewed on this screen and deleted, taken through to the new sales screen and also a formatted quotation report produced for the patient if required. This can be helpful for insurance claims, etc.
